This Privacy Policy explains how ImmCase Digital Solutions LTD (“we”, “us”, “our”) handles information in the ZaazCRM Meet mobile app (“the App”). The App lets you join ZaazCRM video meetings hosted on our meeting server at meet.zaazcrm.com. By using the App you agree to this policy.
1. Information We Collect
The App does not require an account and does not ask you to sign up. When you join a meeting, the following information is processed:
- Display name — the name you type (optional), or the name included in a host meeting link. Other participants in the meeting can see it.
- Email address — only when you join with a host meeting link that was issued to you by email; it is part of that link and is used to identify the host.
- Camera, microphone and screen — your video, audio and, if you choose to share it, your screen are transmitted live to the other participants while you are in a meeting.
- In-meeting chat — messages you send in the meeting chat are delivered to the other participants.
- Meeting records — the room name, when you joined and left, and your display name, so the meeting organizer can see who attended.
- Technical data — your IP address, device and connection information, recorded in server logs to connect calls and keep the service secure and reliable.
The App does not access your contacts, photos, location, or calendar, does not show ads, and does not use your information for advertising.
2. Recordings and Transcription
Meetings are not recorded by default. A meeting host may start a recording or live transcription for their meeting; when that happens, all participants are notified inside the meeting. Recordings and transcripts are stored on our servers and made available to the organization that hosted the meeting.
3. How We Use Information
- To connect you to meetings and deliver audio, video, screen sharing and chat
- To show the meeting organizer who attended and for how long
- To keep the service secure, prevent abuse and fix problems
- To comply with legal obligations
We do not sell your personal information.
4. Device Permissions
- Camera and microphone — to send your video and voice in a meeting. You can turn either off at any time.
- Screen capture — only when you tap Share screen.
- Notifications and background operation — to keep an ongoing meeting connected when you switch apps or lock your screen.
- Bluetooth and audio settings — to use headsets and speakers.
5. Sharing
Your name, video, audio, screen and chat messages are shared with the other participants of the meeting you join. We share information with service providers that host our servers, under confidentiality obligations and only to run the service, and when required by law. Otherwise we do not share your information with third parties.
6. Storage, Security and Retention
Meetings run on our own servers, hosted in Canada. All connections between the App and our servers are encrypted in transit (HTTPS/TLS for signalling and DTLS-SRTP for audio and video). Live audio, video and screen sharing are not stored unless the host records the meeting. Meeting attendance records and any recordings are kept for as long as the organizing account needs them, and are deleted on request or when that account is closed. Server logs are kept for a limited period for security purposes.
7. Your Choices and Rights
You can join without entering a name, keep your camera and microphone off, and leave a meeting at any time. Depending on where you live, you may have the right to access, correct or delete your personal information. To make a request, or to ask us to delete meeting records about you, email hola@zaazcrm.com.
8. Children’s Privacy
The App is intended for business use by adults and is not directed to children under 13. We do not knowingly collect personal information from children.
9. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with a new “Last updated” date.
