Terms of Service
Last updated: October 5, 2026
These terms govern your use of ZaazCRM, the CRM service provided by Zaaz Technology and Software Ltd (“ZaazCRM”, “we”, “us”). By creating an account, starting a trial or using the service, the company or individual doing so (“you”, “your company”) agrees to them. If you are agreeing on behalf of a company, you confirm you are authorised to bind it.
How we handle personal information is described in our Privacy Policy and Data Processing Agreement, which form part of these terms.
1. The service
ZaazCRM is modular software for running a business: contacts, cases, quotes, invoicing, field operations and whatever modules your company configures. We provide it on a subscription basis, hosted by us. We may add, change or withdraw features; where a change materially reduces functionality your company relies on, we will give reasonable notice.
2. ZaazCRM is software, not advice
ZaazCRM does not provide legal, tax, accounting or any other professional advice. Templates, calculations, quotes, generated invoices and similar tools are aids, not determinations. Your company is solely responsible for the accuracy of what it issues and files, for its tax and legal obligations, and for reviewing any document or calculation before relying on it or sending it.
3. Accounts
- Your company creates accounts for its own staff and decides what each may see and do. Your company is responsible for everything done under those accounts.
- Give accurate registration details and keep them current.
- Credentials are personal. Do not share them, and tell us promptly if you believe an account has been compromised.
- Remove access for anyone who leaves. Multi-factor authentication is not yet available; access is protected by password controls and session expiry.
4. Plans, free trial and billing
- Plans and trial. The plans, their prices and, where offered, any free plan or free trial and its length are those shown when you sign up or subscribe.
- Currency and cycle. Fees are charged in the currency shown when you subscribe and billed monthly in advance, unless agreed otherwise in writing.
- Payment. Payments are processed by Stripe. By subscribing you authorise recurring charges to your payment method until you cancel. Card details are handled by Stripe, not by us.
- Renewal and cancellation. Subscriptions renew automatically each cycle. You may cancel at any time, effective at the end of the cycle you have paid for. Fees already paid are not refundable except where the law requires it or we agree otherwise.
- Taxes. Fees are exclusive of taxes, which are added where applicable.
- Price changes. We will give at least 30 days’ notice before a price change takes effect for your company. If you do not accept it, you may cancel before it applies.
- Non-payment. If a payment fails we will try to reach you. We may suspend an account that remains unpaid, with notice. Suspension does not delete your data; section 9 governs what happens to it.
5. Your data
- It stays yours. The records, documents and content your company puts into ZaazCRM belong to your company. We claim no ownership of them.
- What we may do with it. Only what we need to host, process, back up, transmit and display it to operate the service, and to comply with the law. Nothing more. We do not use it for advertising, sell it, or use it to train machine-learning models.
- Your responsibilities. Your company is responsible for having the right to put the data into ZaazCRM, for its accuracy, and for meeting its obligations to the people it describes, including giving them its own privacy notice.
- Getting it out. You may export your data at any time during the subscription, and on termination we provide a complete export in a machine-readable format at no charge.
6. Connected accounts
ZaazCRM can connect to services you already use, such as an Outlook, Microsoft 365 or Gmail mailbox, messaging or calendars. When you connect one, you authorise the access yourself through that provider and remain bound by its own terms. You can withdraw the access at any time. We are not responsible for a third-party service’s availability, or for changes it makes that affect the connection.
7. Acceptable use
Do not use ZaazCRM to break the law or help anyone else do so; to send unsolicited bulk email; to store or distribute malware; to infringe anyone’s rights; to attempt to access another company’s environment, our systems, or any data you are not entitled to; to probe, scan or load-test the service without our written permission; to resell or provide the service to third parties unless we have agreed in writing; or to reverse-engineer the software except to the extent the law permits despite this restriction.
8. Availability and support
We work to keep ZaazCRM available and monitored, and we apply security updates on a regular cadence. We do not commit to a specific uptime percentage unless we have agreed one with your company in writing. Planned maintenance is scheduled outside business hours where we reasonably can, with notice of work likely to interrupt the service. Support is provided by email at hola@zaazcrm.com during business hours.
9. Suspension, termination and your data
- You may stop using ZaazCRM and cancel at any time.
- We may suspend or terminate an account for non-payment, for a material breach of these terms that is not corrected within a reasonable period after we raise it, or immediately where use threatens the security or integrity of the service or of other companies.
- After termination we keep your company’s data available for 30 days so you can export it, then delete it from production systems no later than 90 days after closure, and from backups as they expire on their normal cycle, as set out in the Data Processing Agreement. Tell us if you need it removed sooner, and we will confirm deletion in writing.
10. Our intellectual property
ZaazCRM, its software, design and documentation remain ours. Your subscription grants your company a non-exclusive, non-transferable right to use the service during the subscription, and nothing more. Feedback is welcome and we may act on it without obligation, but we will not identify your company publicly without permission.
11. Confidentiality
We treat your company’s data and non-public information as confidential, disclose it only to personnel and providers who need it to deliver the service and are bound to protect it, and use it for no other purpose. This survives the end of the subscription.
12. Disclaimers
Except as expressly stated in these terms, ZaazCRM is provided “as is”. To the extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the service will be uninterrupted or error-free. Some jurisdictions do not allow certain disclaimers, in which case they apply only to the extent permitted.
13. Limitation of liability
To the extent the law allows, neither party is liable for indirect, incidental, special or consequential loss, or for lost profits, revenue, goodwill or anticipated savings. Our total liability arising out of these terms or the service is limited to the fees your company paid us in the twelve months before the event giving rise to the claim.
These limits do not apply to your obligation to pay fees, to either party’s liability for fraud or wilful misconduct, or to any liability that cannot be limited by law.
14. Indemnity
Your company will defend and indemnify us against third-party claims arising from its data, from its use of the service in breach of these terms, or from the products and services it provides to its own customers, except to the extent the claim arises from our breach of these terms.
15. Changes to these terms
We may update these terms. The current version is always posted here with its date. We will give subscribing companies at least 30 days’ notice of a material change before it takes effect; continuing to use ZaazCRM after that means you accept it. If you do not accept it, you may cancel before it applies.
16. Governing law
These terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable there, without regard to conflict-of-laws rules, and the courts of British Columbia have exclusive jurisdiction. If any provision is held unenforceable, the rest remains in force. Nothing here deprives you of rights under the mandatory law of your own country, including its personal-data and consumer-protection laws.
